Data protection information

Thank you for your interest in the Visions of Policing ORA/DGF website. The protection of the personal data of visitors to the Visions of Policing website is very important to us. We would therefore like to inform you here about data protection at our university.

Subject matter of data protection

Data protection deals with personal data. According to Article 4 No. 1 of the European General Data Protection Regulation (GDPR), this is any information relating to an identified or identifiable natural person, i.e. any information that can be used to identify you. This includes, for example, information such as your name, private address, email address or telephone number, but also usage data such as your IP address.

It goes without saying that VOP (Visions of Policing) complies with the statutory provisions on data protection and other legal regulations and requirements.

We do everything we can to ensure that you can trust us with your personal data. For example, the transmission of personal and sensitive data is encrypted. In addition, our websites are protected by technical measures against damage or unauthorized access.

General data protection notice

(1) When you access VOP or download data from these pages, information about this is stored in a log file with the following content: Your IP address, the date and time the page was accessed, the page accessed or the name of the file accessed, the amount of data transferred, the “user agent string” of your web browser, the website from which you accessed the current page or file, and the status message as to whether the access or download was successful. The non-anonymized log data is automatically deleted after two weeks and is not archived.

(2) This data is used exclusively for non-commercial purposes: it is only viewed manually if necessary and used for error analysis, optimization or investigation of cases of abuse or performance bottlenecks.

(3) We also use cookies to collect and store data. Cookies are small data packets that consist of text and are stored by your web browser when you access a website. They do not cause any damage to your end device – cookies do not contain viruses, nor do they give us the opportunity to spy on you. We use two types of cookies: temporary and permanent cookies. Temporary cookies are automatically deleted when you close your web browser (session cookies). Permanent cookies, on the other hand, have a maximum lifespan – in our case up to one day.

(4) Within the Visions of Policing website, external pages or services are occasionally integrated.

External website content is integrated at certain points using technologies such as “iframes”. The providers of these websites may be able to collect, store and, if necessary, process and pass on information from you. However, this is at most so-called traffic data, i.e. information collected by the external service providers that can be collected during a normal page visit, e.g. the IP address, the approximate location, the browser used, the page you came from, etc. Under no circumstances is personal information or data collected unless you have voluntarily submitted it via the web form.

Scope of data collection and storage

Please refer to the section “General data protection notice” (above, regarding log data and cookies) and the section on “Collection and storage of usage data” (below, further on cookies) for information on how we handle personal traffic data.

Collection and storage of usage data

In order to optimize our website, we collect and store data such as the page accessed, the date and time the page was accessed, the page from which you accessed our site, etc.

Processing is carried out for the purpose of generating access statistics. For this purpose, the log data is anonymized by hiding the last two digits of the IPs and removing GET parameters from the URLs. In this way, the statistics are based on anonymous data, which means that it is not possible to draw conclusions about natural persons or link them to associated user data. The non-anonymized log data is automatically deleted after two weeks and not archived; permanent storage is excluded. The anonymized log files and access statistics, on the other hand, are archived long-term.

On some websites, data is also collected and stored using the WordPress and Visions of Policing project participants on the basis of TUB’s legitimate interest in the statistical analysis of user behavior for optimization and marketing purposes in accordance with Art. 6 para. 1 lit. f GDPR.

This is explicitly stated at the end of the right-hand column on the websites concerned. We use our own Matomo instance on servers of the TU Berlin, which was set up in accordance with the recommendations of the “Unabhängiges Landeszentrum für Datenschutz” (ULD) Schleswig Holstein. When you access the pages, your access data is immediately anonymized. Matomo does not use cookies for tracking, but works exclusively on the basis of anonymized IPs and website views. In addition to the pages and files accessed, data on the operating system used, browser, browser plug-ins (e.g. whether the Flash player is available), screen resolution, approximate location (e.g. “Berlin”, but not a specific address) and length of visit are stored.

Place of storage and earmarked use of data

We use the server and host services of Domain Factory for the Visions of Policing website. Therefore, please also note their privacy policy, which you can view at https://www.df.eu/de/datenschutzrichtlinie/.

Your personal data is collected, processed and stored exclusively for the purpose for which you have provided it to us. We therefore observe the principle of earmarked data use. Your personal data will not be passed on to third parties without your express consent, unless this is necessary for the provision of the service or the performance of the contract. Data will also only be transferred to state institutions and authorities requesting information within the scope of the statutory duty to provide information or if we are obliged to provide information by a court decision. We also take data protection within the university very seriously. Our employees and the service providers we commission are obliged to maintain confidentiality and to comply with data protection regulations.

Right to information

You can obtain information about your data stored by us free of charge at any time without giving reasons. To do so, please use the contact address provided. We will be happy to answer any further questions you may have about our data protection information.

Right to lodge a complaint

Please note that data protection regulations and data protection practices (e.g. on YouTube) can change constantly, so it is necessary to keep up to date with changes in legal provisions and company practices.

This privacy policy only applies to the content of Visions of Policing web servers that provide this privacy policy and does not include the linked websites of downstream or external web servers.
